Wildwest Travel – Payment, Cancellation & Terms
This policy applies to all bookings made through Wildwest Iceland. By confirming a booking and submitting payment, the traveler confirms that they have read, understood, and accepted the terms below.
1. Role as Booking Agent
Wildwest Travel acts as a booking agent for airlines, hotels, tour operators, transportation providers, and other third-party suppliers. All services are subject to the individual terms and conditions of those suppliers. Supplier policies may override Wildwest Travel’s policies.
2. Payments
You may choose one of the following payment options at the time of booking:
- Full Payment: 100% payment at the time of booking.
- Deposit Option: 30% deposit at the time of booking. The remaining balance is due no later than 30 days before arrival.
Bookings not paid in full by the payment deadline may be cancelled automatically. Deposits may be forfeited in accordance with the cancellation policy.
3. Cancellations & Refunds
Cancellations must be submitted in writing (email or message). Refund eligibility is determined by the date we receive the cancellation request:
- 30+ days before arrival: Full refund
- 15–29 days before arrival: 50% refund
- Within 14 days of arrival: No refund
If your booking includes third-party services, their cancellation rules may apply and may override this policy.
Approved refunds are processed within 10–30 business days, depending on the payment provider and supplier involved.
4. Changes to Bookings
Requests to modify a booking (including date changes, name changes, or itinerary changes) are subject to availability, supplier approval, applicable price differences, and potential supplier change fees.
Some bookings may be non-changeable and require cancellation and rebooking.
5. Travel Insurance
We strongly recommend that all travelers purchase comprehensive travel insurance covering:
- Trip cancellation or interruption
- Airline delays or cancellations
- Lost or delayed luggage
- Medical emergencies or accidents
Failure to obtain travel insurance increases your financial risk in the event of unexpected changes.
6. Client Responsibilities
You agree to:
- Provide accurate personal and booking information
- Review and verify all booking details before payment
- Ensure passport validity, visa requirements, and entry documentation
- Arrive on time for flights, tours, and transfers
- Comply with supplier rules and local regulations
Wildwest Travel is not responsible for errors or issues resulting from incorrect information provided by the traveler.
7. Responsibility & Limitation of Liability
Wildwest Travel is not liable for losses, delays, disruptions, or additional costs resulting from:
- Airline schedule changes, delays, or cancellations
- Missed flights or connections
- Weather conditions, natural disasters, or acts of God
- Government actions, strikes, or political events
- Illness, accidents, or medical emergencies
- Errors related to passports, visas, or entry requirements
- Acts, omissions, or decisions of third-party suppliers
While we will assist in communication with suppliers when possible, compensation and refunds are determined solely by supplier policies.
Wildwest Travel’s total liability is limited to the amount paid directly to us for services we personally provide.
8. Assumption of Risk & Waiver
You acknowledge that travel involves inherent risks and agree to travel at your own responsibility. By booking with Wildwest Travel, you release and hold harmless Wildwest Travel, its owners, employees, and agents from any liability, loss, damage, injury, or expense arising during your travel.
9. Acceptance of Terms
By submitting payment and confirming a booking with Wildwest Travel, you acknowledge that you have read, understood, and accepted these terms, including our payment, cancellation, refund, and liability policies.
